Contracts Administrator

We are looking for an experienced Contracts Administrator to join a small Finance/Admin team. You will take on responsibility for the management and administration of all contracts for the company. In preparation for the introduction of a new CRM system into the organisation in 2021, many internal business processes are currently being reviewed. This is therefore an ideal time for someone curious and dynamic to come in and help reshape and standardise the Contracts function. At the same time there is a general industry move towards a subscription based model for software which will need to be factored in.

 

The role:

Reporting to Head of Finance

Prepare contracts for sales and purchases

Create and manage a contracts strategy

Generate reports on the current status of existing agreements

Negotiate contract terms, conditions & pricing and follow up to ensure execution according to the negotiated terms

Create standardised language for new contracts

Analyse and report on specific risks associated with contracts

 

Key Tasks:

Administration of software and hardware maintenance contract to clients

Administration of “hosting” contracts to clients

Follow up of all contracts not returned

Updating contracts database

Recording cancellations and informing relevant third parties

Administration of renewal process – obtaining quotes, raising pro-forma sales orders, obtaining customer sign off, conversion to sales orders and related purchase orders

Invoicing application for payments 90 days in advance of renewal

Raising VAT invoice for renewals once paid or 28 days before renewal

Issuing credit notes as applicable

Resolving customer queries or escalating to account manager if necessary

Liaising with credit control and purchase ledger functions regarding any queries

Liaising with sales administration function regarding new agreements, additions, etc

Maintaining contract files

Data analysis on contracts database.

 

Your skills and experience:

5+ years of experience in contract administration or a related field like accounting, finance or legal

Working knowledge of accounting principles. AAT qualification would be an advantage

Experience working with and managing contracts

Knowledge and understanding of the legal requirements involved in specific contracts

Attention to detail and ability to notice errors

Dealt with subscriptions previously

Exceptional organisational skills

Confident to raise questions and dispute customer queries. Also confident to recommend changes internally

Be passionate about building relationships within the organisation and with external contacts           

Results-orientated and always looking at ways to improve

Proactive and positive with a can-do attitude

Ability to think independently and work within a team

Good Excel skills

Can pick up new systems easily and flexible to changes.
