Job Title:
Conference Sales Executive
up to 23k + bonus
Proactively sell the Hotel and Exhibition Centre whilst providing excellent customer service, working accurately, efficiently and effectively to quality standards set by the management team. To meet targets set by the Sales Office Manager as well as account managing new and existing clients.
1.To have a good overall understanding and knowledge of the Hotel and its conference and exhibition facilities
2.To have a full knowledge of the Hotel PMS system, departmental systems, procedures and standards. Ensure data entry is clear and concise in line with KPI targets set by Sales Office Manager
3.Build effective relationships and manage accounts with booking agents and corporate clients
4.To welcome all guests to the hotel in person or on the telephone in a polite, friendly and professional manner
5.Deliver clear communication and co-ordination of all conferences and events, which includes weddings, private functions and conference business, ensuring successful service delivery of all events
6.Proactively identify upselling opportunities in order to continuously grow conference and event revenue
7.To be available to organization open days/showcases to highlight the hotel to the local and regional conference and events market
8.Convert enquiries that come through the Sales Office and meet conversion targets set by the Sales Office Manager
9.Conduct show rounds for conferences, weddings and banqueting events, ensuring that accurate information is given to the appropriate enquiry
10.Confirm status of all bookings as per the 7 day chase procedure
11.Follow up all enquiries within 24 hours and not exceeding 7 days outlined in the chase procedure. Complete the relevant paperwork
12.Enter all provisional enquiries on to the sales system and complete the relevant paperwork
13.Confirm all details and issue T&Cs to all bookings. Ensure that all paperwork is returned within the timescale laid down
14.Carry out necessary credit checks in line with company procedures
15.Produce accurate function sheets for each event with clear billing instructions and communication of these to the Operations team
16.Liaise effectively with colleagues in the operations team to ensure customer demands and operational requirements are always fully known and evaluated
17.To be flexible with shift patterns in line with the needs of the business
18.Ensure all events have a follow up call and their comments - both positive and negative - are noted and acted upon
19.Have a good working knowledge of all the equipment within your department therefore giving you and your department the maximum flexibility
20.Respond positively to any reasonable request or duty as tasked by management

4.To comply with statutory and company regulations relating to Health and Safety, food hygiene, licensing regulations, fire procedures and security of premises and property
1.To be aware of and comply with health, safety and hygiene policies details in the health and safety manual.
2.Be fully conversant with the fire and emergency procedures, as laid down in the hotel fire plan
3.To be aware of and comply with statutory and company regulations in relation to Licensing and Security of premises and property
4.To know what to do in the event of a staff or guest incident or accident or in the event of damage to hotel or guest property
